Here are some tips to ensure a successful online meeting.
Starting the meeting
To ensure a smooth punctual start, make sure you enter the meeting earlier and check that your microphone (mic) and camera is working. If you are leading the meeting, ensure that all the documents or links you need are already open on your desktop or browser. One way to be organised is to have all the links or documents/presentations you need in one single document.
Just like in a face-to-face meeting, set the ground rules for how the meeting will evolve and how questions will be taken. This is especially important to avoid people speaking at the same time.
During the meeting
Always keep your mic off during the meeting when you’re not speaking to avoid unnecessary noises.
State your name before speaking, especially if there is no video. It can be very confusing to know who is speaking, especially if the screen is filled with a presentation.
Raise your hand before speaking by clicking on the hand icon.
Do not ask general questions to everyone, to avoid having people speak at the same time.
To make sure everyone participates, check in with quiet participants to ensure they understand or have anything to add.
Make sure you inform the host, (by chat if someone is speaking) if you need to leave the meeting for a moment, or early.
Use large breakout rooms for large groups to facilitate discussions.
Be clear about the amount of time and objective when using breakout rooms.
